Job Title: Assistant Manager, Wholesale Customer Support 
Locations: Brooklyn, New York

Summary

Stumptown is looking for a dynamic individual to join our East Coast Wholesale crew in the role of Assistant Manager of the Wholesale Customer Support team. Deliver of the highest level of customer service and support to our customers by overseeing the daily wholesale interface within Stumptown’s East Coast market. Ensure wholesale orders are fulfilled and customer needs are met in a timely manner. Manage the team of Wholesale Customer Support representatives.

Essential Functions

  • Oversee the wholesale interface between our customers and the East Coast Wholesale team
  • Manage the team of Wholesale Customer Support representatives
  • Ensure team communicates as the voice of Stumptown to all wholesales customers
  • Manage daily incoming wholesale orders via the group phone and email systems
  • Work closely with Account Managers, Roasters, Production, and Accounts Receivable to ensure order and customer experience needs are met
  • Generate and oversee sales orders in NetSuite, and navigate system to process orders through fulfillment
  • Assist Account Managers, Sales, and Trainers in addressing and prioritizing wholesale accounts needs and issues
  • Identify and coordinate Wholesale Customer Support team training needs
  • Update and maintain wholesale account data and documentation
  • Assist in creating and maintaining reports that inform cross-functional team projects
  • Other duties as assigned

Supervisory Responsibilities

  • Support Wholesale Customer Support Manager by assisting with supervision of a team of three.

Qualifications

  • Previous management experience preferred
  • Ability to deliver exceptional customer service
  • Product knowledge and demonstrated passion and enthusiasm for coffee
  • Strong organization skills and attention to detail
  • Experience working cross-functionally as part of a large or small project team
  • Experience managing multi-line telephone system, and group email system
  • Familiarity with order processing programs (ex: NetSuite), MS Office, Google apps, and other basic computer tools
  • Ability to manage and prioritize daily and weekly tasks
  • Weekend availability
  • Flexible and adaptable to change

Job Title: Customer Service & Billing Agent
Locations: Portland, OR Headquarters

Summary

Deliver the highest level of customer service and support to Stumptown wholesale customers throughout the West Coast.  Ensure information and product is received when the customer needs it.  This position interfaces with all Stumptown customers, including Wholesale, Retail, e-Commerce and general customers.  Works closely with Production and Roasting team to fulfill and expedite daily coffee orders.  Duties require flexible hours as the office is open seven days per week.

Summary

The Accounts Receivable Clerk plays an important role at Stumptown by interacting with customers and ensuring an exceptional customer service experience.  The Accounts Receivable Clerk is responsible for ensuring the company receives payments for goods and services and for properly recording transactions.  Attention to detail and well-developed organizational skills are important.

Essential Functions

  • Process incoming payments from customers and monitor customer accounts
  • Perform day to day transactions by verifying, classifying, posting and recording accounts receivable data
  • Prepare invoices and bank deposits
  • Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted
  • Verify discrepancies and resolve customer billing issues and provide exceptional customer service
  • Research and resolve payment discrepancies
  • Communicate regularly with customers via phone, email and in person
  • Facilitate swift payment of invoices due to the company by sending bill reminders and contacting clients about outstanding account balances
  • Generate reports detailing accounts receivable status, including the aging report
  • Carry out billing, collection and reporting activities according to specific deadlines
  • Perform account reconciliations
  • Maintain customer files and records
  • Organize a recovery system and initiate collections efforts
  • Collaborate with AR Manager and Accounting Manager to maintain collections goals and general AR performance levels

Summary

Support our commitment to exceptional customer service.  This full time position will work closely with the Wholesale team, Production and others in an ever-expanding retail market to ensure that our grocery accounts are receiving an exceptional level of customer service.  The ideal candidate will create positive and lasting relationships with our vendors, catering to the needs of store owners and managers at each store to fulfill specific requests. The position will require multi-tasking, confidence in dealing with a variety of personalities and helping different departments ensure that quality standards are being maintained at each store.

Essential Functions

  • Key point of contact for all delivery, ordering and fulfillment matters for grocery accounts
  • Communicate regularly and effectively with Customer Support, Production, Sales and management teams
  • Fulfill grocery coffee orders with precision, including direct merchandising, placing orders for accounts and managing pars
  • Help manage and perform demos among all grocery accounts across the channel of business, including whole bean (drip) and Cold Brew tastings with the public; work according to prioritized demo schedule and engage other team members accordingly to fulfill
  • Check in with accounts on non-scheduled delivery days; proactive resolution of issues
  • Establish systems and lay the groundwork for customer-service standards during our expansion in grocery markets
  • Communicate with customers in a positive and supportive manner on the road, day-to-day, and on behalf of Stumptown
